1

EMR Sync

Patient documents are pulled from EMR records and analyzed for extraction text, sourced from PDF, Word document, or image.

2

Redaction

Original, unredacted files are immediately discarded after processing, leaving text extractions that are free from Protected Health Information and able to be analyzed in a compliant way. The redacted transcript is kept locally for processing attached to the document ID within the EMR.

3

Eligibility Rules

Screening types are assigned to patients based on set criteria. Sex, age range, preexisting conditions are the main considerations for assigning a relevant screening, aided by condition normalization, screening type variants, and severity parsing.

4

Matching

Screening types are configured with keywords that can trigger matches if found in the content of the document inventory. The date of completion of the document and screening type frequency are used to calculate if the document fulfills compliance for the screening cycle. All instances of keyword matches are able to be examined in the document inventory, as well as the ability to dismiss a match if it is deemed a 'false positive' for clinical relevance.

Screening Variant System

Severity-aware protocols that ensure patients get the right screening for their risk level:

  • Variant Scoring: Each variant has a specificity score - patients are automatically matched to the highest-scoring variant they qualify for
  • Mutual Exclusivity: Patients only appear in one variant per screening type, preventing duplicate work and ensuring consistent protocol application
  • Trigger Conditions: Define which diagnoses qualify a patient for each variant - the system matches these against patient records automatically
  • Variant Templates: Pre-built high-risk protocols ready to import for common screenings requiring severity differentiation

5-Section Prep Sheet Structure

Comprehensive patient overview generated in under 10 seconds:

  • Patient Header: Demographics, MRN, DOB, last visit, prep generation date
  • Summary: Recent appointments and active medical conditions from Epic
  • Medical Data: Labs, imaging, consults, hospital visits (configurable time period)
  • Quality Checklist: Screening statuses (Complete/Due/Due Soon) with matched documents
  • Enhanced Data: Clickable document links filtered by relevancy to current screening cycle

Reducing Administrative Strain

Give your team the organized workflow they deserve

  • Eliminate scavenger hunting: no more rummaging through patient records on the computer
  • End repetitive data entry: tailor focus to process the newest discoverable documents
  • Reduce cognitive load: organized prep sheets replace scattered notes or unstructured word documents
  • Protect your team's energy: save mental bandwidth for patient care

Result: Nurses, MAs, care coordinators, and front-desk staff spend less time on screens and more time with patients.

Preventing Burnout

Your clinical and ancillary staff didn't train for paperwork

Administrative overload is the #1 driver of healthcare burnout. When nurses, MAs, care coordinators, and support staff spend more time on screens than with patients, frustration builds, turnover rises, and care quality suffers.

Health Prep automates the tedious prep work (chart digging, compliance checking, endless clicking) so your entire team can focus on clinical care, not clerical tasks.

An organized, automated environment means less stress, better staff retention, and the energy to deliver the quality patient care your team signed up for.

Enabling Quality Patient Care

When prep is done, your team can truly care

With screening prep automated, your entire clinical team arrives at each patient encounter fully prepared. Complete histories, flagged gaps, and prioritized tasks are all ready before the visit begins.

This means more time for patient interaction, clinical judgment, and the human touch that technology can't replicate.

Automation → organized workflows → energized caregivers → better patient experiences.

Getting Your Epic Credentials

Everything you need to know about Epic FHIR integration credentials

What Are Epic Credentials?

To integrate Health Prep with your Epic EHR system, you need three pieces of information:

  • Epic Client ID: A unique identifier (looks like: e57377e2-dfd5-4675-9659-...)
  • Epic Client Secret: A secure password that authenticates your connection
  • Epic FHIR Base URL: The endpoint for your Epic FHIR server
Sandbox vs. Production

Sandbox: Use Epic's test environment for development and testing with sample data. Typically uses "fhir.epic.com" domain or URLs with "sandbox" in the path.

Production: Use your organization's live Epic environment with real patient data. Uses your organization's own Epic FHIR endpoint.

How to Get Them

Option 1: Contact Your Epic Representative

Frequently Asked Questions

Everything you need to know about Health Prep

Health Prep is built with HIPAA-supportive architecture including encrypted secrets management, organization-level data isolation, comprehensive PHI audit logging, idempotent PHI redaction, and configurable data retention policies. To achieve full HIPAA compliance, customers should pair Health Prep with their organization's broader HIPAA program (Business Associate Agreements, internal policies, staff training, etc.).

Health Prep uses Epic-registered OAuth2 applications with SMART on FHIR discovery. It supports both provider-scoped and organization-scoped tokens, handles automatic token refresh, and synchronizes patient demographics, clinical documents, and immunization records. Screening eligibility is recalculated deterministically after each sync. Setup typically takes 1-2 hours with our implementation team's guidance.

Health Prep is priced at $300/month per provider. This straightforward pricing includes:

  • Unlimited patients and screenings
  • Full Epic SMART on FHIR integration
  • HIPAA-compliant data handling
  • Dedicated support and implementation assistance
  • All features included - no hidden fees or tiers

Absolutely! Health Prep offers fully customizable screening templates. You can create templates for any screening type, modify data fields, adjust formatting, and save templates for reuse. Our template builder is intuitive and requires no technical expertise. We also provide pre-built templates for common screening scenarios that you can use as starting points.

Documents flow through a cascading OCR pipeline: first attempting direct text extraction (PyMuPDF), then hybrid processing, and finally Tesseract OCR if needed. The system includes confidence scoring, keyword highlighting, and PHI-aware redaction before storage or display. All OCR processing happens securely within our HIPAA-supportive infrastructure with full audit trails.

The PHI filter uses configurable regex patterns to detect and redact SSNs, phone numbers, MRNs, names, and dates while preserving medical terminology. It's idempotent (won't double-redact already processed content) and maintains audit logs for compliance reviews. All data is encrypted with AES-256 at rest and TLS 1.2+ in transit, and the system includes before/after preview capabilities.

Yes. The system uses asynchronous job infrastructure (Redis Queue), rate-limit aware batching for Epic API calls, and appointment-based prioritization to efficiently process large patient volumes while maintaining deterministic, reproducible results. The multi-tenant architecture ensures high availability even during peak usage, making it suitable for large healthcare systems and hospital networks.

Specialty presets are pre-configured screening logic templates designed for specific medical specialties like cardiology, orthopedics, gastroenterology, and more. Instead of manually creating screening rules from scratch, you can import a specialty preset that includes relevant screening types, frequency requirements, and eligibility criteria. Presets are fully customizable after import, allowing you to tailor them to your specific practice patterns while saving hours of initial setup time.

Health Prep provides analytics dashboards, performance monitoring, and audit trails that expose adoption metrics, due-soon screening volumes, and resolved match rates. These help quantify operational efficiency gains and compliance improvements. With transparent value metrics, you can see the exact impact on your practice, including hours saved per week and screening completions.

Epic connection must be initiated by an organization administrator or authorized provider who has access to a registered Epic client ID/secret and approved redirect URIs. Health Prep enforces per-organization or per-provider token ownership for security. This is typically:

  • A practitioner (physician, nurse practitioner, PA)
  • A practice manager with elevated Epic security permissions

Once connected, all users in your organization can access the EMR sync features.

Troubleshooting: If you receive an error during connection, please contact your Epic administrator to verify your account has the necessary permissions, or ask a practitioner to complete the initial setup.

No - Health Prep augments your clinical staff, it doesn't replace them. The system is designed to streamline the clerical and administrative burden of screening preparation, not to make clinical decisions.

Human oversight is essential: The screening engine produces results that must be reviewed and verified by your nurses or MAs. The system is only as effective as the worker using it - their expertise and judgment remain critical to the process.

Quantifiable benefits: Organizations see measurable improvements in time savings (up to 42 hours per 500 patients) and reduced labor costs for repetitive screening preparation tasks.

Qualitative benefits: By reducing the clerical burden, Health Prep allows nurses and MAs to focus on what matters most - triage, patient interaction, provider conferences, and hands-on clinical tasks. Staff can dedicate their expertise to high-value work instead of administrative duties.

Preventing burnout: Traditional screening preparation has often been described as a "neverending scavenger hunt" through patient charts. Health Prep eliminates this frustrating, time-consuming process, helping reduce staff burnout and improving job satisfaction.
